Using Custom Auto Filter sample 3 4 pg 125 126 127

Example 3

To see only rows containing payments or receipts still on hold in column ON HOLD

Say we want to see a list of payments or receipts still pending (on hold) in column ON HOLD. In this case, we can use Custom AutoFilter to look for one item under one (same) column.

1. Follow steps 1 to 3 in Example 1 under Using Simple AutoFilter.

2. Click the small arrow which appears on the right side of column titled ON HOLD.

3. A list will appear.

4. Click Custom.

5. A dialog titled Custom AutoFilter will appear.

6. Set the dialog box as follows:
Custom AutoFilter X

Show rows where:
ON HOLD does not equal NR
		And or

Use ? to represent any single character
Use * to represent any series of characters

OK Cancel

Effectively we want to see amounts on hold, that is, items other than MR. So set the dialog to read:

Show rows where column ON HOLD does not equal to NR.

This will occupy the top boxes, leaving the bottom boxes blank.

7. Click OK.

Now you will see only rows of data where the item in column ON HOLD is not NR, i.e. contain amounts on hold. All the totals in row 1 will be automatically updated. These are the net amounts on hold.

Example 4

To see rows of data for items purchased.

Say we want to review the purchase of items. This require us to filter the rows to see only rows having items other than item NR in column ITEM PURCHASED. In this case, we can use the menu Data/Filter/AutoFilter/Custom to look for one item in one column.

1. Follow steps 1 to 3 in Example 1 under Using Simple AutoFilter.

2. Click the small arrow which appears on the right side of column titled ITEM PURCHASED.

3. A list will appear.

4. Click Custom.

5. A dialog titled Custom AutoFilter will appear.

6. Set the dialog to read:

Select rows where ITEM PURCHASED does not equal NR.
Custom AutoFilter ?X

Show rows where:

ITEM PURCHASED does not equal NR
			And Or

Use ? to represent any single character
Use * to represent any series of characters

OK Cancel

7. Click OK.

Now, you will see only rows of data where the item is not equal NR - effectively these are all the items purchased.
